Job Description

The Chief Financial Officer (CFO) is responsible for the overall management and operation of the financial and accounting functions of the Fourth Estate Public Benefit Corporation and its subsidiaries.

Included among these responsibilities are all functions associated with financial reporting and analysis, budgeting, investments review, cash management and the audit process. Serves as the full charge accountant for the organization. This position reports to the Executive Director.

Duties & Responsibilities

Management & Strategy

  • Participates as a member of the Management Team in all management and operations planning as required.
  • Collaborate with Management Team and Board of Directors to fulfill targets relevant to scope of work.
  • Partners with the Executive Director and leadership in financial planning activities.
  • Assists in the design, implementation, and documentation of policies and procedures that meet the needs of internal and external customers.
  • In conjunction with other staff, investigates opportunities for improving and further automating existing accounting, budgeting and recording systems.
  • Partner with the Executive Director on updating our current systems and processes to determine functional allocation accordingly.
  • Reviews and signs off on payroll and benefits submissions.
  • Recommend improvements to current financial strategies of the Association.


General Accounting

  • Conducts all accounting activities with the Accounting Manager (General Ledger, Accounts Receivable and Cash Receipts, Accounts Payable and Cash Disbursements) and reconciles daily/monthly bank statements.
  • Maintains check registers for all accounts, reviews batch activity prepared by Vice President of IT and prepares and posts monthly general ledger journal entries.
  • Develops and maintains fixed assets depreciation schedule.
  • Prepares and maintains the chart of accounts.
  • Maintains accurate accounting records and recommends internal controls in accordance with generally accepted accounting principles.
  • Monitors operating cash daily.
  • Prepares accounting-related reports and analysis for presentation to the Treasurer, CEO, Board of Directors and other audiences. Provides information and analysis to internal users as well.
  • Reviews reports generated by and payments made to the payroll services company and other benefits services providers.
  • Prepares monthly financial reports, balance sheets, and variance reports.
  • Prepares detailed financial/accounting schedules.
  • Prepares and maintains schedules for Due to/Due from accounts.
  • Works with other staff to reconcile accounting records with operational databases (CRM).
  • With input from staff, maintains the master vendor and customer lists.

    Audit/Tax

  • Conducts fiscal year closing and coordinates annual independent audit of the Association’s financial operations. Prepares materials for annual audit including annual audit schedules and researching audit requests.
  • Prepares balance sheet reconciliations and updates fixed assets schedule.
  • Prepares and posts year-end general journal entries.
  • Assists the auditors/Tax Services in the timely preparation of tax return(s).

    Budgeting
  • Assists and serves as lead coordinator in the preparation of the annual budget by preparing budget worksheets, identifying and projecting future costs, and preparing the final budget
  • Work with Management Team to create a balance budget.

    Cash Management
  • Monitors cash daily, including cash flow, investment positions, and cash disbursements.
    Investments
  • Prepares monthly journal entries, recording market adjustments and interest income.
  • Works with the to develop appropriate investment policies and oversees the implementation of those policies.

    Committees
  • Serves as liaison with Committees.
  • Serves as liaison to financial representatives (bankers, brokers, etc.), insurance brokers, auditors, payroll services, benefits services providers, IRS, attorneys, and others.

    Other Duties
  • Coordinates with payroll and benefit plan suppliers to provide timely payment and record keeping.
  • Completes state tax returns.
  • Coordinates and produces activity reports as necessary, including Board reports and monthly activity reports.
  • Works with staff and the outside Auditor to meet the goals in the organization’s yearly work plan and budget.
  • Performs other duties as assigned.


    Minimum Qualifications:

  • To perform this job successfully, an individual should possess the knowledge, skills and abilities listed and meet the amount of education, training and/or work experience required.

    Education & Experience:

  • Bachelor’s degree in Accounting, Bachelor’s degree with a major in accounting, or equivalent experience required.
  • Seven years or more of relevant experience including financial accounting controls, processes and procedures, preferably working for a non-profit entity.
  • Experience with computerized accounting systems.

    Knowledge, Skills & Abilities:
  • Extensive knowledge of generally accepted fund accounting principles and practices as they relate to mission oriented organizations.
  • Thorough knowledge of budget preparation, cash flow projections, and financial analysis.
  • Strong understanding and working knowledge of computer accounting systems and Microsoft Office Suite; experience working with Great Plains.
    Excellent oral and written communication skills.
    Proven interpersonal skills; ability to handle multiple tasks and work well within a team environment and under deadlines.
    Ability to define problems, collect data, establish facts and draw valid conclusions.

  • Ability to travel for business meetings.
