Job Description

The Fourth Estate Public Benefit Corporation is searching for a Virtual Event Coordinator to help administer webinars, virtual conferences and events, a key part of Fourth Estate's growing list of programs.

The Coordinator will work with various stakeholders to facilitate the development, coordination, and execution of journalistic and non-journalistic virtual events and conferences. This role is the the primary point of contact for organizers and presenters. The Coordinator will ensure successful planning, execution, and reporting of events. In addition, this role will coordinate internal communications related to virtual conferences and complete programmatic and administrative tasks for the department on a regular basis.This role will work to ensure virtual events align with overall strategy and technical capability.

ESSENTIAL JOB FUNCTIONS  include the following. Other duties may be assigned.

  • Serve as central liaison for coordinating programmatic and planning efforts for webinars, and virtual events. ensuring successful and timely execution of conference planning milestones.
  • Develop a cross-team timeline for each virtual event.
  • Work with staff to facilitate selection of virtual conference topics and organizers and to ensure that online events remain true to the topics selected by committees.
  • Facilitate planning efforts, such as determining the vision for the online event, drafting an agenda, inviting speakers, and organizing sessions.
  • Plan and coordinate digital event logistics, including setting up registration, the virtual environment, and event sessions.
  • Administer scheduling, planning, collection of materials, and communication with presenters for virtual conferences.
  • Work with various teams to coordinate conference marketing, branding, sponsorships/exhibits, and communications. Ensure any journalistic or technical copy is fully vetted by subject matter experts.
  • Coordinate responsibilities and a punch list for event live-day.
  • Execute post-meeting activities, including processing reimbursements, leading lessons learned meetings, and updating online information.
  • Establish processes and SOPS for managing virtual conferences programming and speaker communications.
  • Coordinate conference evaluation efforts.
  • Prepare any conference related reports for internal and external stakeholder groups.


Education and Experience:

  • Bachelor's degree required.
  • 2-3 years of event coordination and/or project coordination required.
  • Experience facilitating volunteer group efforts preferred.
  • Proficiency in using modern virtual meeting tools and platforms. We use Zoom.
  • Proficiency in using MS Word and the ability to learn new software quickly.

  • Experience in coordinating virtual meetings or strong desire to learn.
  • Interest in instructional design and technology.
  • Excellent verbal and written communication skills.
  • Ability to use good judgement and to be diplomatic with sensitive situations.
  • Ability to work collaboratively and independently.

This position reports to our Washington, DC office, however. all of our positions are remote.
